What will you be doing?

The Accounting Administrative Assistant supports the Accounting department through administrative tasks, including invoicing, journal entries, bank reconciliations, and addressing accounting issues. The ideal candidate demonstrates proficiency in office tools, organizational prowess, attention to detail, and the ability to work independently while ensuring the confidentiality of financial information.

Accounting Administrative Assistant responsibilities include, but are not limited to:

  • Review and verify invoices for accuracy, completeness, and compliance with company policies.
  • Code and enter invoices into the accounting system.
  • Ensure timely and accurate processing of vendor invoices.
  • Process payments through various methods, including checks, electronic transfers, and credit card payments.
  • Reconcile payments with invoices and maintain accurate payment records.
  • Address payment discrepancies and resolve issues with vendors.
  • Review and process employee expense reports, ensuring compliance with company policies.
  • Verify receipts and documentation supporting expense claims.
  • Communicate with vendors regarding payment status and resolve any payment-related inquiries.
  • Maintain positive relationships with vendors and address issues promptly.
  • Assist in month-end closing activities related to accounts payable.
  • Prepare reports and reconcile accounts payable transactions.
  • Ensure compliance with company policies, procedures, and relevant regulations.
  • Maintain accurate and organized documentation of invoices, payments, and other financial records.
  • Other duties as assigned

What are we looking for?

  • Proven experience as an Accounting Administrative Assistant or a similar role.
  • Solid understanding of accounting principles and practices.
  • Proficiency with general office equipment and PC applications (i.e. multi-function copiers, word processing, spreadsheets, databases, Acumatica, email, remote desktop connections).
  • Proficiency with Acumatica or experience with other accounting software; Demonstrated ability to learn new accounting systems quickly.
  • Experience with property-level accounting and/or operations highly desired.
  • Demonstrate sound organizational and interpersonal skills.
  • Capable of using independent judgment: solid decision-making skills.
  • Ability to manage time and work effectively in a fast-paced environment.
  • Keen attention to detail with a strong commitment to accuracy and confidentiality.
  • Activator/self-motivated to accomplish goals, with a strong sense of responsibility.
  • Ability to work nights and/or weekends as necessary to meet deadlines, particularly during the first half of the month and at year-end close in January.
