Responsibilities of the Office Administrator/Accountant include, but are not limited to:

Set up new vendors with W-9 and certificates of insurance

Enter approved invoices by cut-off date

Process checks and attach back-up in invoice order for signature

Maintain orderly A/P files and keep insurance certificates current

Create check register with check copies
-
Post checks to client accounts
-
Balance deposit to A/R posting
-
Prepare Excel spreadsheet of deliveries and post to projects – monthly

Post inventory charges to projects – monthly
-
Assist with work in process and invoicing
-
Answering phones, scheduling meetings & vendor appointments, receiving and processing incoming and outgoing correspondence

Maintaining office inventory (office supplies, breakroom supplies, etc.)

Review utility / miscellaneous charges and renewals to ensure accuracy
-
Assisting team with project related tasks as needed

Other duties as assigned by manager/President.
