What will you be doing?

As an Event Coordinator, you’ll assist our sales and food & beverage team with events by generating BEOs and banquet checks, facilitating contract distribution, and serving as a vital liaison between sales, clients, and internal teams. Additionally, you’ll ensure all documentation is accurately filed, handle client inquiries efficiently, and assist with event setup and cleanup as required, while also fulfilling other assigned duties.

Event Coordinator responsibilities include, but are not limited to:

  • Create BEOs and banquet checks through Delphi.
  • Maintain and update the CRM system with accurate and current client information.
  • Assist in the preparation and distribution of contracts and agreements.
  • Ensure that all necessary documentation is completed and filed appropriately.
  • Serve as a point of contact between the salesperson, clients, and internal teams.
  • Prepares professional correspondence for clients, internal booking reports, and file maintenance.
  • Address inquiries, resolve issues, and manage client requests promptly.
  • Provide set-up, tear-down, and clean-up for events as needed.
  • Other duties as assigned.

What are we looking for?

  • Prior experience with Delphi is strongly preferred
  • Prior experience working with a CRM is required
  • Experience in a hotel/resort sales, event, or catering coordinator/manager role is preferred
  • Proficiency with computers and general office PC applications (i.e. word processing,
    spreadsheets, databases)
  • Creative problem-solver
  • Strong verbal and written communication skills, including the ability to communicate effectively via
    email and phone with proper etiquette
  • Ability to adapt effectively to significant changes in work tasks
  • Passion for providing exceptional service to guests and team members
  • Strong attention and care to details
  • Responsibility, reliability, and honesty
  • Teamwork and collaboration
